University Settlement is a multi-service agency that was founded in 1910 and has the distinction of being the first community-based social service centre in the City of Toronto. JOB FUNCTION:
This is a position for ensuring a welcoming and efficiently run reception area at University Settlement’s 720 Spadina Avenue location.
QUALIFICATIONS:
• High School graduation and related courses at community college level or equivalent
• One (1) to two (2) years related experience, preferably in a non-profit environment
• Good all-round computer skills with working knowledge of the Microsoft Word, Excel and Outlook
• Excellent oral and written communication skills.
• Fluency in Cantonese or Mandarin is an asset
• Strong interpersonal skills including diplomacy and tact
• Excellent telephone manner and experience operating a multi-line telephone system
• Ability to operate printer, fax machine, photocopier, scanner, etc.
• Typing speed minimum 35 words per minute
• Training in conflict resolution, sensitivity and anti-oppression is an asset
• Basic mathematical competence.
• Excellent organizational, time management and prioritization skills
RESPONSIBILITIES:
• Responsible for receiving all telephone calls, keeping accurate messages for staff, students and volunteers and/or relaying calls to same
• Conduct client initial intake and refer to other service providers if appropriate
• Schedule appointments for staff and maintain appointments booking system
• Provide a congenial atmosphere for receiving visitors and notify staff of their arrival.
• Ensure provision and dissemination of information related to University Settlement’s objectives, policies, programs and services to the general public
• Perform clerical duties such as data entry, photocopying, faxing, etc.
• Order and maintain office supplies
• Assist with event planning and meeting room set up and clean up
• Register computer users and assist users to use computer programs as requested
• Update the accounts payable system and maintains expense and other filing systems
• Update job resources as needed and maintains the resources in good order
• Tact and diplomacy are required when handling contacts of a difficult or specialized nature, for the discussion and resolution of problems
• Open daily mail; distribute courier packages and process outgoing mail
• In the case of a disturbance or a trespasser, Front Desk staff are expected to phone for assistance and report the incident as per the established safety procedures for University Settlement
• Other duties as assigned by Supervisor
DETAILS: full time, 35 hours /week
One year Project Position (with possibility of extension) - Non-union
TERMS OF EMPLOYMENT:
Police Reference Check is a requirement of this position.
Where potential staff will have direct contact with children or vulnerable persons, the Police Reference Check will include a request for information about the candidate under the Mental Health Act.
